1. Introduction

These Terms of Service ("Terms") govern your use of the Soulflow Yoga & Wellness Studio website, booking platform, membership services, and any in-studio services (collectively, "Services") provided by Soulflow Yoga & Wellness Studio ("Soulflow", "we", "us", or "our").

By booking a class, purchasing a membership, or using our website, you agree to be bound by these Terms. Please read them carefully before proceeding.

2. Eligibility

To use our Services, you must:

  • Be at least 18 years of age, or have the consent of a parent or guardian if aged 13–17

  • Provide accurate and complete information when creating an account or booking

  • Not have been previously suspended or removed from our Services

By using our Services, you confirm that you meet these requirements.

3. Accounts & Bookings

Creating an Account You may be required to create an account to book classes or purchase memberships. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. Please notify us immediately if you suspect unauthorised access.

Making a Booking Classes and therapies must be booked in advance through our website or app. Bookings are confirmed only upon receipt of payment or valid membership verification. We reserve the right to cancel or modify classes where necessary, and will notify you as promptly as possible in such cases.

Cancellations by You

  • Cancellations made more than 2 hours before a class will incur no charge.

  • Cancellations made within 2 hours of a class start time may result in the loss of one class credit.

  • No-shows without cancellation will result in the loss of one class credit or a drop-in charge.

Cancellations by Us In the unlikely event we cancel a class, you will receive a full credit to your account or, upon request, a refund. We are not liable for any additional costs incurred as a result of a cancelled class.

4. Memberships & Payments

Membership Types We offer a range of membership options including monthly, seasonal, and six-month passes. Full details of each membership, including pricing and included benefits, are available on our website.

Payment All prices are displayed in GBP and are inclusive of VAT where applicable. Payment is processed securely through our third-party payment provider. By purchasing a membership or class pack, you authorise us to charge the stated amount to your chosen payment method.

Recurring Memberships Monthly memberships renew automatically on the same date each month unless cancelled. You will receive a reminder before each renewal. You can cancel your membership at any time with a minimum of 7 days' notice before the next renewal date.

Class Packs Class packs are non-transferable and valid for the period stated at the time of purchase. Unused credits will expire at the end of the validity period and cannot be extended or refunded.

Freezing Your Membership Monthly members may freeze their membership for up to 4 weeks per year at no charge. Requests must be submitted at least 48 hours in advance. Additional freeze periods may be granted at our discretion in exceptional circumstances.

5. Refund Policy

Memberships We do not offer refunds on membership fees once a billing period has commenced. If you wish to cancel, your membership will remain active until the end of the current billing period.

Class Packs Unused class credits are non-refundable except in exceptional circumstances, such as a long-term medical condition preventing you from attending. Supporting documentation may be required.

Workshops & Events Refunds for workshops and events are available if requested more than 7 days before the event date. Cancellations within 7 days are non-refundable but may be transferred to another participant or applied as a credit.

Retreats Retreat bookings are subject to a separate cancellation policy communicated at the time of booking. Deposits are generally non-refundable.

Your Statutory Rights Nothing in these Terms affects your statutory rights under UK consumer law, including your right to a 14-day cooling-off period for distance contracts where applicable.

6. Health, Safety & Participation

Health Disclosure You are responsible for disclosing any medical conditions, injuries, pregnancy, or physical limitations that may affect your ability to safely participate in classes or therapies. We provide health questionnaires for this purpose. Failure to disclose relevant information releases Soulflow from liability for any resulting injury or harm.

Participation at Your Own Risk Yoga, movement classes, and wellness therapies involve physical activity that carries inherent risk. By participating, you acknowledge this risk and confirm that you are physically capable of taking part. If you are unsure whether a class or therapy is suitable for you, please consult a medical professional before attending.

Instructor Authority Our instructors have the right to modify, pause, or stop a class in the interest of participant safety. You agree to follow all reasonable instructions given by Soulflow staff during your time at the studio.

Right to Refuse We reserve the right to refuse entry to or remove from the studio any individual whose behaviour poses a risk to themselves, other participants, or staff, or who is in breach of these Terms.

7. Intellectual Property

All content on our website, including text, images, logos, class content, and instructional materials, is the intellectual property of Soulflow or its licensors. You may not reproduce, distribute, or use any content for commercial purposes without our prior written consent.

8. Limitation of Liability

To the fullest extent permitted by law:

  • Soulflow is not liable for any loss, injury, or damage to personal property occurring on our premises, except where caused by our negligence

  • We are not liable for any indirect, consequential, or economic losses arising from your use of our Services

  • Our total liability to you in connection with any claim shall not exceed the amount you paid for the relevant Service

Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

9. Third-Party Services

Our website and booking platform may contain links to third-party websites or use third-party services. We are not responsible for the content, privacy practices, or terms of any third-party provider. Your use of third-party services is at your own risk.

10. Changes to These Terms

We reserve the right to update these Terms at any time. Changes will be posted on our website with a revised effective date. Continued use of our Services after changes are posted constitutes acceptance of the revised Terms. We will notify active members of material changes by email where reasonably practicable.

11. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
